Privacy

The Faire Pty Ltd (ACN 702 430 948) ("The Faire", "we", "us"), runs the-faire.com and The Inn. This policy explains what personal information we collect, why we collect it, who we share it with and what you can do about it. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth) and send marketing in line with the Spam Act 2003 (Cth).

The Faire is an 18+ event. The site and The Inn are not meant for anyone under 18, and we don't knowingly collect information from them.

What we collect

When you pre-register

  • your email address (required)
  • if you choose to give them: first and last name, mobile number, postcode, preferred city and the parts of The Faire you're most interested in
  • a record of your consent to marketing: when you gave it and which version of the wording you agreed to
  • where you came from: the campaign link or referring site that brought you to us

When you register interest in working with us (Get involved)

  • your name, email address and what you do (required)
  • if you choose to give them: mobile number, business name, city, links to your work and your message to us

When you join The Inn

  • your email address, first name, mobile number and home city
  • whether you've verified your mobile
  • the characters you create: name, class, reason for coming, traits, quirk, house connection and any GIF you pick
  • your party: its name, house, members and who leads it
  • which shows you plan to come to, and as which character
  • which of our email lists you want to hear from

When you buy a ticket

Tickets are sold through a separate ticketing platform, which handles your payment under its own privacy policy. We never see your card details. The platform passes us your order number, the edition you bought for, and the email address and mobile number on the order, so we can link your ticket to your Inn account and make you a host for your party.

When you browse the site

Like most websites, we use cookies and similar tools to understand how the site is used and how well our advertising works. These collect things like the pages you visit, what you click, your device and browser type, your approximate location (from your IP address) and the site that referred you. See Cookies, analytics and advertising below.

We also store a few small items in your browser (local storage) so the site remembers where you first arrived from and keeps you signed in to The Inn. They stay on your device.

Why we collect it

  • to send you news, story instalments, ticket releases and offers you've signed up for, by email and text message
  • to run The Inn: your account, your characters and your party
  • to link the tickets you buy to your account and plan the night around who's coming
  • to work out where to run future editions (that's why we ask for your preferred city)
  • to pay our referral partners for the people who sign up through their link, and to let them deliver any extra they offer those people
  • to review and reply to collaborator and vendor enquiries
  • to understand how the site is used, fix problems and improve it
  • to measure and target our advertising
  • to keep the site and your account secure
  • to meet our legal obligations

We only use your information for these purposes, or for a related purpose you'd reasonably expect, unless you agree otherwise or the law requires or allows it.

Marketing and unsubscribing

Pre-registering is your agreement to receive emails and texts from us about tickets, news and the story. The form says so next to the button. Every email has an unsubscribe link, every text tells you how to opt out, and you can change which lists you get in The Inn. You can also email us and we'll take you off. Once you unsubscribe we keep only enough to make sure we don't contact you again.

Registering interest in working with us is a business enquiry, not a marketing sign-up. We'll only contact you about it.

Cookies, analytics and advertising

We use these services on the site:

  • Google Tag Manager and Google Analytics, to measure traffic and sign-ups
  • Microsoft Clarity, which records how visitors move around pages (clicks, scrolling and mouse movement) so we can see where the site is confusing. Clarity masks what you type into forms.
  • Meta Pixel, to measure and target our Facebook and Instagram ads. When you pre-register or register interest, Meta is told a sign-up happened.
  • TikTok Pixel, to measure and target our TikTok ads. When you pre-register or register interest, TikTok is told a sign-up happened.
  • PostHog, for product analytics. When you sign up, we link your earlier anonymous visits to your email address so we can see which pages and campaigns led to the sign-up.

Meta and TikTok also hear about sign-ups from our server, so ad blockers don't hide which ads work. With each one we send your email address in scrambled (hashed) form, so they can match it to an account without reading it, along with your IP address, browser type and the ad click identifiers their pixels set. We keep those identifiers with your sign-up, so that when you confirm your email address we can tell them that too.

You can block or delete cookies in your browser settings, and the site still works without them. You can control ad personalisation in your Facebook and Instagram settings and at Google's Ad Settings, or opt out of Google Analytics with Google's browser add-on.

Who we share it with

We don't sell your personal information. We share it only with the people and services that help us run The Faire:

  • Our team and contractors, who need it to produce the event and reply to you
  • Service providers that store or process information for us:
    • Supabase (database and Inn sign-in)
    • Netlify (website hosting)
    • Postmark (sign-in and account emails)
    • an SMS provider (sign-in and account recovery codes, and text messages you've signed up for)
    • Customer.io (our email marketing platform)
    • Google Workspace (our email)
    • GIPHY (when you search for a GIF in The Inn, your search terms and IP address go to GIPHY)
    • the analytics and advertising services listed above
  • Our ticketing platform, to match your order to your account
  • Event partners such as venues, only when needed to run the night (for example, a guest list for entry)
  • The referral partner whose page you signed up through, if you used one (a link like the-faire.com/p/their-name). We tell them you signed up through them and give them your name and email address, so they can deliver any extra they offer (like a discount or a meet and greet) and see who they brought. We pay them based on how many tickets the people they referred buy, so they see that number, not who bought what. They can't add you to their own marketing unless you agree to it with them.
  • Authorities, where the law requires it

These providers can only use your information to provide their service to us.

Information stored overseas

Several of these providers store or process information outside Australia, mainly in the United States and in other countries where they run data centres. We choose established providers and take reasonable steps to make sure they protect your information in line with Australian privacy law.

Keeping it secure

Your information sits in a database that only our own server-side code can read or write. The website itself can't reach it directly. Inn sign-in uses one-time codes and links instead of passwords, all traffic is encrypted, and access within our team is limited to the people who need it. No system is perfectly secure. If a data breach is likely to cause you serious harm, we'll tell you and the Office of the Australian Information Commissioner as the law requires.

How long we keep it

  • pre-registration and Inn details: until you unsubscribe, delete your account or ask us to remove them
  • collaborator enquiries: for as long as we're considering or working with you, then up to two years
  • ticket records: as long as we need them for the event, our accounts and tax records
  • analytics data: for the retention period set by each analytics provider

When we no longer need information, we delete it or remove anything that identifies you.

Your choices and rights

You can:

  • see the information we hold about you
  • ask us to correct it
  • ask us to delete it
  • unsubscribe from marketing at any time
  • use the site anonymously or under a made-up name, where that's practical. You'll need a real email address to pre-register or join The Inn, and your character can be called whatever you like.

Email us at the address below and we'll reply within 30 days. We may need to confirm who you are first.

Complaints

If you think we've mishandled your information, email us first and we'll try to put it right within 30 days. If you're not happy with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

Changes to this policy

We'll update this page if how we handle information changes, and change the date at the top. If a change affects what you've agreed to, we'll tell you before it takes effect.
